TourPilot

Route the tour, track the deals, settle the shows.

Plan tours and shows, see distances, conflicts and open dates, run what-if scenarios on stated assumptions, and settle each show from its recorded deal.

What is TourPilot?

TourPilot holds a tour as shows, venues, deals, an itinerary and expenses. It computes the straight-line distance between consecutive stops — labelled as such, because road distance is longer — and can suggest a shorter visiting order for undated stops, shown beside the current order's distance. It lists overlapping itinerary items for each person, gaps of more than four days between shows that a booking agent may want to fill, and a readiness checklist per show: booking confirmed, contract signed and on file, deposit, riders, venue, times, stage plot and run of show. A what-if scenario takes the sell-through you assume and returns profit per show and for the route. Each show settles from its recorded deal: the greater of the guarantee and the door split of net box office, in exact integer arithmetic. Ticket counts are entered from the promoter's settlement sheet or a ticketing report; Ticketmaster does not share sales data with third parties, and the Eventbrite API is not connected in this release.

Problems it solves

  • See the distance between stops and a shorter suggested order
  • Find itinerary conflicts before they happen
  • Know what is still missing before each show can run
  • Test a route's profit at the sell-through you assume
  • Settle a show from the recorded deal, line by line
  • Spot open dates worth filling

Key capabilities

Tour Routing
Distances between stops, a suggested shorter order, schedule conflicts and open dates — each labelled as a measurement or a suggestion.
Transparent Payouts
Show exactly how a payout figure was calculated, line by line.
Human Approval Gates
Anything with an outside consequence — a pitch sent, a product published, a campaign sent, a booking committed — waits for a person with the named permission.
Evidence Trail
Every figure carries the record it came from, so a reader can check the answer instead of trusting it.

How it is built

Routing
Straight-line distances, labelled as such, and a nearest-neighbour plus 2-opt suggestion for undated stops.
Conflicts and gaps
Overlapping itinerary items per person, and gaps of more than four days between shows.
Show readiness
A checklist of recorded facts — contract, deposit, riders, times, stage plot — never inferred from text.
Scenarios
Profit per show and per route at an assumed sell-through, which the result labels as your assumption.
Settlements
Guarantee versus door split of net box office, after ticketing fees and show costs, in integer arithmetic.
Tour P&L
Projected and realised profit, with paid expenses posted to the ArtistOps ledger.

How it works

How the work is structured, and what each step's output rests on.

  1. Record the route

    Source

Shows, venues, deals and the itinerary.

  2. Check the plan

    Observed

Distances, conflicts, gaps and per-show readiness.

  3. Commit bookings

    Human-verified

A person with permission confirms each booking and spend.

  4. Settle

    Observed

Each show settles from its deal; the result posts to the ledger.

Ask TourPilot

Illustrative examples. Results depend on your own data.

  • “What is still missing before the Leeds show can run?”
  • “Is there a shorter order for the undated stops?”
  • “What does this route make at 70% sell-through?”
  • “Settle last night's show from the recorded deal.”

Questions

Does TourPilot book shows or buy tickets?
No. A show exists because a person recorded it, and committing a booking or a spend needs approval from someone with that permission.
Where do ticket counts come from?
You enter them from the promoter's settlement sheet or a ticketing report. Ticketmaster does not share sales data with third parties, and the Eventbrite API is not connected in this release.
Are the distances driving distances?
No — they are straight-line distances and are labelled that way. Road distance is longer.

Teams using TourPilot often want these too.
